Online Registration to Begin June 28, 2004

Dear Treasurers and Managers:
Because many of you treasurers may not be affiliated with the same teams, I’m copying all managers on this email as well.  New managers (especially U9 girls), please make sure your treasurers receive this information.  Below are the guidelines which appear on the login page for the online registration program.
 
Fall, 2004 Registration will begin June 28, 2004
 
Registration Period:  June 28-September 1, 2004
 
Online registration:  Visa & Mastercard Accepted
Fees paid online are limited to ASA dues ($12 per year) and ATSC dues ($46 per season: total for Fall $58), plus any voluntary donation to ATSC scholarship/fundraising.  Remaining fees will continue to be collected through team treasurers.

Registration Tips:
  • Registrants will choose from the following selections:  new, returning, and updating records.
    Coaches and volunteers that do not have children registered in ATSC will use a separate URL to register.  The information is available in the registration section of the ATSC website. 
  • All U9-U11 players are currently in our tryout system.  They are considered "returning" registrants.  For those players, just login, choose travel soccer and pay the registration fee.  All other players are "new" as they are not yet in the system.
  • For players without Internet access, a paper copy of the registration is available on the ATSC website (www.atsc-va.org).  The team manager or designated team volunteer will use these forms to enter completed information into the system, and a check for $58.00, payable to ATSC should be sent to 2230 N. Powhatan St., Arlington 22205.
  • Make sure your primary email address is listed as your 1st email.  All Club communication will be sent to this address.  If you have a spam filter set up, please make sure that it is set to recognize email from administrator@atsc-va.org.
  • Upon completion of online registration please retain your confirmation & PIN number.  An email confirmation will be sent to your primary email address with this information.  This will allow for easy entry into the system to edit your records in future seasons.
For your budget purposes, please understand that the money collected online will ONLY be the ATSC dues ($46.00, which includes the online credit card processing fee) and ASA dues ($12).  Therefore, when you send out invoices for your fall, 2004 program, please deduct these two expenses from your normal bill.  You will continue to apply for scholarships as you have in the past, since Club reimbursement for your scholarship players is a separate transaction from the initial team payment of ATSC dues.
 
HOWEVER, for players that do not have access to the Internet, a paper registration form is available online on the Forms and Documents page, and a $58.00 check will need to be sent (payable to ATSC), to my address.  Since this summer is the shake down for making this process work efficiently, I need to know from you how best to confirm with you whether those families paying by check have indeed paid.  It’s possible that you’ll collect the checks from them and mail them to me in one batch.  If you prefer the families send checks directly to me, okay, but you’ll know best how much gentle reminding is necessary.  There may be some teams that need to complete several paper forms for their players, but generally I expect all families to complete the registration online.
 
The system is organized by household.  For families with more than one child in ATSC, that means the children will have individual information, but the family surname will be the point of entry for updating future information.  Please note that all U9-U11 family information is already in the system from tryouts.  Those families need to enter the system as returning users and complete the payment portion.
 
All managers and Club-wide volunteers will register as well.  When you register your player, please check off the appropriate volunteer position you hold in the volunteer section of the registration.  There is a separate URL for coaches and non/parent volunteers.  I will send coaches a separate email with information.
 
An explanation of the registration process will be available on our website at www.atsc-va.org/registration/index_E.html.  It is not live yet, so you will not be able to see the instructions until this weekend.  I have already received good questions about the process.  As you think of things others will need to know, send them to me.  Our webmaster, Chug Roberts, plans to prepare a FAQ to help people learn the system better. 
 
The credit card system is through a secure website.  Several ASA Clubs, including the Civitans and Northwest Lions, use this system for their player registration and it has been quite successful. 
There are a few key benefits to online registration.  It will identify volunteers for our club, promote fundraising initiatives, and allow us to communicate via email to targeted groups or to our collective organization.  Once club registration is completed we will able to take advantage of having a clubwide database of players, families, and team officials.
 
The URL for registration is https://ssl.demosphere.com/ATSC.  It is not ready yet, but I wanted to be sure you had the information.  The easiest thing to do is access through the above link on our website.  If you have any questions at this point, please let me know.  I’d like the benefit of your thoughts as we prepare for next week’s launch.
